Exhibition

We’ve compiled all exhibition-related information below.

We provide a lockable counter to all exhibitors and strongly recommend storing any valuable items inside overnight or whenever the booth is unattended, just for peace of mind. Please note that EuroPython organisers are not responsible for any lost or stolen items.

The EuroPython Society will have public liability insurance for the event. However, we are not responsible for any damages caused by sponsors in the exhibit area or for any goods ordered from the booth builder. We encourage you to arrange separate insurance for your property and equipment when possible.

Exhibit Booths

All Silver sponsors and above will be assigned a booth (unless agreed otherwise), with sizes ranging from 6 sqm to 56 sqm, depending on the sponsorship package.

Exhibition Schedule

Exhibit Days: During the three main conference days Wednesday to Friday, 16–18 July 2025.

Exhibit Hours:

We ask that all booths be staffed at least during the official breaks. However, we strongly recommend keeping booths staffed throughout the opening hours, especially for Keystone, Diamond, and Platinum sponsors.

Booth Customisation and Add-ons

On top of what is already included in your booth as part of the package, you can order add-ons, such as TV sets and furniture for your booth.

ℹ️ Packages of Platinum and above already include a TV and stand as part of the booth. Gold and Silver sponsors can order a TV and stand separately, if needed

Parcel Delivery & Swag

As part of our commitment to reducing the carbon footprint of EuroPython, we’re making the distribution of physical gifts optional. Instead of placing your items in attendee bags, you’ll have the freedom to distribute gifts directly from your booth.

We strongly encourage you to choose gifts made from environmentally friendly materials and focus on quality over quantity to reduce waste.

Shipping to the venue is exclusively handled by DB Schenker. Please contact their team directly to discuss costs and shipping arrangements.

Leads Collection

We do not provide a dedicated tool for lead collection, but you are welcome to engage with attendees and request their information with their consent.You may ask attendees for permission to scan the QR code on their badge. These QR codes contain vCard 3.0 records with their name, affiliation and emailaddresses. While QR code scanners are not provided, you are welcome to bring your own device or use an app of your choice to capture these contact details. You can also use the leads for prize draws, games, party invites or other attendee interaction ideas.

Friendly reminder: the data collection process is subject to GDPR. And our Code of Conduct should be adhered to at all times.


Talks | Tutorials/Workshops | Posters

As part of your sponsorship package, you may be entitled to a sponsored talk, tutorial/workshop, or poster. Below are the details for each:

Submission Process
Our programme team will provide a dedicated Pretalx submission link, our CfP and scheduling system. We will send this to you to share with your presenter, who will submit their title, abstract, and speaker details directly, following the standard submission process.


Recruiting

Job Postings on Website

Sponsors at Silver level and above can post recruitment ads on our Job Board (to be published later.)

Please include a brief company introduction, job title, description, and contact address. Check out the 2024 Job Board to get an idea.

Job Posting on EuroPython Blog

Sponsors at Silver level and above can submit one recruitment ad for the EuroPython blog. You may either use the same posting submitted for the job board on the website or provide a new one.

💡 If you’re using the same document as for the website job board, just make sure your featured blog job post is clearly marked.

On-site Job Board

For your recruiting ad on the on-site job board at the venue, you can bring a printed ad and pin it to the whiteboard yourself.

Recruiting Session / Talent Track

The dedicated recruiting session will take place on one of the main conference days between 16 and 18 July, and will be part of the official conference schedule. The room and time will be announced closer to the conference date.

This session is available to Gold sponsors and above, or any sponsor who has purchased the Talent Track add-on. During the session, each sponsor will have the opportunity to give a 3-minute pitch, presenting your company and job offers. Attendees can then visit your booth for direct follow-up chats. Please remember to specify the location of your booth so that attendees can find you easily.

Brand Visibility & marketing

Your company logo will be featured in various promotional materials, both digital and print. You should have already been asked to submit your logo in both PNG and vector formats (e.g. .SVG, .PDF, .AI) when you signed up as a sponsor.

If you have not submitted your logo at the time of signup or before the specified deadline, please note that it may not be included in certain printed materials.

Video Ads

There are two types of video ads you can submit:

File specifications: MP4 format, 720p or 1080p resolution.

Copyright Note: If you include music, please ensure you have the legal rights. We recommend using music under a Creative Commons license to avoid copyright issues or strikes on our YouTube channel.

You can submit different video files or reuse the same video in both. The number of video ads you submit is up to you. We recommend 2 to 10 files. Higher sponsorship levels will receive more ad share.

Important: To avoid attachment size limits, please upload your videos to a file-sharing service (e.g. Dropbox, Google Drive, WeTransfer, OneDrive) and send us the download link.

Technical Study Blog Post

Diamond and Keystone Level sponsors, or those who have purchased this add-on, can have a blog post highlighting their company. The Communications team will assist in crafting a technical case study blog post, which will be published on EuroPython’s dev.to and EuroPython Blog, with promotion across our social media channels. You can also choose to cross-post the same blog on both platforms.

For each blog post, we will need at least 3 paragraphs of text, along with an image (if you don’t have one, we can use your logo).

The text should focus on a technical case study related to Python, such as how you solved a problem or improved performance using Python. The content should appeal to a technically oriented audience.

Communications

Sponsors at the Platinum level and above are eligible for a dedicated sponsor highlight page on our website. This is your opportunity to showcase your company to our attendees with a custom page tailored to your needs.

You can submit text and any attachments, such as images or other content, that you’d like to feature. Our Communications team is happy to help shape the layout.

We’re here to help bring your ideas to life, so feel free to get creative with how you’d like to present your company!

Sponsors of Platinum level and above can be featured in six editions of the EuroPython newsletter, which is sent out monthly. We’ll highlight your company with your logo and a short blurb of up to 100 characters. The publication cycle starts before the conference and can continue after the event, giving your company ongoing visibility throughout the year.

One Email to Attendees

Diamond and Keystone sponsors are eligible to draft one email of your choice, which the organisers will send on your behalf to attendees to receive sponsor emails.

Media Package

EuroPython’s YouTube channel has 34K subscribers and over 4 million views, providing significant exposure for your content. Both the full-length interview and custom YouTube short will be published on this channel, offering your company the opportunity to be featured in front of our engaged audience.

Media Corner Access at the Conference

Sponsors of Platinum level and above — or those who purchased this add-on — are invited to book a slot at our Media Corner during the conference for a recorded interview.

What we need from you:

Platinum and above sponsors — or sponsors who purchased this as an add-on — can submit one custom YouTube Short (up to 3 minutes) to be published on the EuroPython YouTube channel before the conference.

This is your opportunity to:
